Invoice Reconciliation

Invoice Reconciliation

Invoice reconciliation is the process of comparing an invoice against supporting records, such as a purchase order, contract, or proof of service, to confirm the billed amount and details are accurate before payment.

What Is Invoice Reconciliation?

Invoice reconciliation is the process of comparing an invoice against supporting records, such as a purchase order, contract, or proof of service, to confirm the billed amount and details are accurate before payment.

How Does Invoice Reconciliation Work?

The invoiced amount, rate, and line items are checked against the original agreement or order, and against evidence that the service or goods were actually delivered as billed. Any mismatches (wrong rate, wrong quantity, duplicate charges, or services not rendered) are flagged and disputed with the vendor or carrier before the invoice is approved for payment.

Invoice Reconciliation in Freight

In freight specifically, invoice reconciliation (often called freight audit) means matching a carrier's invoice against the contracted rate, accessorial charges, and actual shipment details to catch overbilling.

Why Invoice Reconciliation Matters

Without reconciliation, billing errors, whether accidental or not, get paid without question, directly costing the business money. Systematic reconciliation catches these errors, strengthens vendor accountability, and keeps financial records accurate.
